1. Terms of Service (ToS)
A. Service Description & Licensing
- SaaS Model: The platform is provided as a Software as a Service (SaaS), licensed per school.
- Partnership Phase: For the first year, the service is provided without subscription or license fees to allow for real-world validation.
- Post-Partnership Costs: After the initial year, the first partnership school remains responsible for covering hosting and infrastructure costs only.
B. Roles & Accountabilities
- Vendor (SASH Tech) Responsibilities: Responsible for platform hosting, system development, maintenance, bug fixes, and security updates.
- School Administration Responsibilities: The school is responsible for the day-to-day operational usage, including managing driver and guardian accounts, creating transportation blueprints, and assigning students to routes.
C. Use of the Platform
- Safety Disclaimer: While the platform is a student safety and tracking tool, it does not replace the primary duty of care held by the school and drivers during transportation.
- Driver Conduct: Drivers must use the interface only when it is safe to do so to reduce distractions.
2. Privacy Policy
A. Data Collection
- Guardian & Student Data: We collect names of guardians and students to facilitate account switching for multiple children and to record attendance.
- Real-Time Location Data: The platform captures and shares the live location of the bus during active rides.
- Driver Data: We collect driver assignments and performance data for reporting and future analytics.
B. Purpose of Processing
- Operational Efficiency: To automate daily ride creation and eliminate manual coordination.
- Proactive Communication: To send automated alerts to guardians when a bus is approaching to reduce student waiting times.
- Reporting: To provide the school with data on ride status and attendance.
C. Data Sharing & Visibility
- Restricted Access: Live tracking is only accessible to authorized guardians during active rides generated from the school’s blueprints.
- Administrative Oversight: School admins have full visibility into all transportation operations and structured data for decision-making.
D. Data Retention
- Ride Records: Historical ride data is recorded for reporting and future features like route replay.
3. Legal & Compliance Note
- Detailed Documentation: Final legal, contractual, and compliance details are subject to open discussion and will be documented before a full rollout.
